A well-prepared RFQ (Request for Quote) is the single most important step in getting accurate, competitive pricing for sheet metal parts. Missing information leads to pricing buffers, delays, and misaligned expectations. This checklist covers the 10 critical items every RFQ must include.
Always provide 3D models in STEP (.stp) or IGES (.igs) format. These allow the manufacturer to analyze geometry, identify potential manufacturing issues, and calculate precise material usage. 2D drawings alone leave room for interpretation errors.
2D drawings should include: overall dimensions, critical tolerances, surface finish specifications, thread specifications, weld symbols, and edge break requirements. Mark critical-to-function (CTF) dimensions clearly to avoid over-specifying non-critical features.

Provide both immediate order quantity and annual volume forecast. Volume commitments significantly impact per-unit pricing — a 500-unit order may cost 20-30% less per unit than a 100-unit order due to setup cost amortization.
Specify packaging type (individual boxes, bulk packing, export crating), labeling requirements, and shipping method (air freight vs sea freight, Incoterms preference). Proper packaging specification prevents damage and reduces total landed cost.
List applicable quality standards (ISO 9001, AS9100, IATF 16949), required inspection reports (material certs, dimensional reports, coating test reports), and any third-party inspection requirements.
State your target delivery date, whether the project is time-sensitive, and if phased delivery is acceptable. This allows the manufacturer to plan production capacity and quote realistic lead times.
Providing a target price range helps manufacturers optimize process selection and material choice to meet your budget. Without a range, suppliers may quote their premium process by default.
If your design contains proprietary technology, request an NDA before sharing files. Reputable Chinese manufacturers are experienced with IP protection and will sign NDAs without hesitation.
